Use of application contact details
When you apply for a vacancy, the Portfolio and contact details required to process your application may be shared with authorized representatives of the company that owns the vacancy.
- This disclosure is limited to legitimate recruitment and application processing purposes.
- The information is not disclosed publicly, shared with unrelated companies or made available for unrestricted internal use.
- Hiding contact details on the public Portfolio does not change authorized ATS access to the application snapshot.
1. Scope of this policy
This policy applies to information processed through PİM.az web pages, registration and account features, vacancy and application processes, the Career Portfolio and contact services.
- We aim to process only the information necessary for the specific function of the service.
- Different access and visibility rules apply to company and job seeker accounts on the platform.
- This document also covers technical and organizational security measures.
2. What information do we collect?
The type of information depends on the feature you use.
- Account information: first name, last name, email, phone number, city, account type and account status.
- Career information: work experience, education, skills, languages, professional summary and other information added to the Portfolio by the user.
- Vacancy and application information: the vacancy applied to, the selected Portfolio and the application status.
- Company information: legal and brand names, tax ID, contact details, vacancy content and operational data for the company account.
- Technical information: IP address, browser, device and technical logs required for security and audit purposes.
- Contact information: the name, phone number and message you voluntarily submit through the support form.
3. Why do we use the information?
Collected information is used only for specified and justified operational purposes.
- To create accounts and support sign-in and email verification.
- To receive applications for vacancies and manage application statuses.
- To ensure that a company sees only information submitted by a candidate who applied for its own vacancy.
- To create and update the Career Portfolio and present it through a sharing link chosen by the user.
- To detect and investigate fraud, unauthorized access, misuse and security incidents.
- To process payments, billing and service package operations.
- To comply with legal obligations where required by law.
- To improve platform performance and ease of use.
4. Visibility of job seeker information
A core principle of PİM.az is that job seekers do not become part of a public candidate directory.
- A job seeker profile is not published openly in general search results.
- A company must not see your profile or application information for a vacancy to which you did not apply.
- When you apply, your selected Career Portfolio is provided to the company for that application.
- An immutable snapshot may be retained to preserve the historical state of the information submitted with an application.
5. Career Portfolio and sharing links
The Career Portfolio is a sharing surface separate from an ATS application.
- Users can share their Portfolio with a person of their choice through a QR code or permanent sharing code or link.
- Anyone with the link can view the current Portfolio version, so users should control who receives the sharing link.
- Public Portfolio pages are served with a noindex policy so they are not indexed in search results.
- An application snapshot and a live Portfolio are not the same: the snapshot preserves the presentation as it existed when the application was submitted.
6. Who we share information with
Information may be disclosed to third parties only where necessary to provide the service or comply with legal requirements.
- The company you apply to: only the information you submit as part of that application.
- Technical service providers: the minimum information required to provide services such as hosting, email, payments and security.
- Government and law enforcement authorities: when a lawful and binding request is received.
- Other users and companies: information beyond the private boundaries of your account and applications is not shared without a defined purpose.
7. Retention and deletion
We aim not to retain information longer than necessary to provide the service, maintain security and audit records, and meet legal obligations.
- Active account information is retained while the account and service relationship remain active.
- A Career Portfolio snapshot created during an application is retained under the applicable retention policy and may be deleted automatically after a defined period.
- Audit, security and financial records may be retained longer in accordance with legal and operational requirements.
- A deletion request may not be fulfilled fully and immediately where the information must be retained by law.
8. Security measures
Technical and organizational controls are applied to protect the confidentiality and integrity of information.
- Role-based access and permission checks.
- Session, authentication and security controls.
- Audit trails and activity logs for sensitive operations.
- Secure communication mechanisms for data transmission.
- Detection and restriction of suspicious activity and unauthorized access attempts.
- Users must not share passwords or account access details with third parties.
9. Cookies, analytics and Google tag
Analytics tools are restricted in line with privacy principles, and Google tag is disabled by default.
- When GOOGLE_TAG_ENABLED=false, Google tag is not loaded on any page.
- When enabled, the tag operates only on predefined public and indexable pages; it is not rendered in internal or portal layouts.
- Browser cookie and cache behavior also depends on your browser settings.
- Users can restrict third-party cookies at browser level.
10. User rights
Subject to applicable law and service rules, users may submit requests regarding their information.
- Request access to your information and details about its processing.
- Request correction of inaccurate or outdated information.
- Where applicable, request deletion of information or restriction of its processing.
- Where processing is based on consent, withdraw consent to the extent permitted by law.
- Identity and account ownership verification may be required before a request is reviewed.
11. Information about children and third parties
Do not enter another person's personal information on the platform without confirming a legal basis and your authority to share it.
- Enter personal information only when you have the right to provide it.
- Do not share another person’s email, phone number or Portfolio information without their knowledge and an appropriate legal basis.
- The platform may restrict content involving the unlawful publication of third-party information.
12. Policy changes and contact
This policy may be updated when services, laws or data processing practices change.
- A new version takes effect on the date it is published on this page.
- Where practicable, material changes may be communicated through an appropriate notice or within the service.
- Use the official PİM.az Contact page for privacy requests.

PİM.az uses Google Analytics to understand the use of public pages only with your consent. Advertising tracking is not enabled.
Your analytics preference is stored in your browser for public pages. You can change it at any time using the “Analytics preferences” button in the footer. Google Analytics is not loaded until you provide consent.
